“Where’s my order?”: how online stores answer it before customers ask

It’s the most common message an online store gets. Status updates in your voice, tracking that finds itself, AI answers from live order data and friendly cart reminders take it off your plate.

Ask anyone who runs an online store which message they get most, and the answer is almost always the same: “Where’s my order?”

It’s not a complaint, exactly. It’s a customer who’s excited, a little anxious, and doesn’t know what happens between “Thanks for your order” and the parcel on the doorstep. Each one takes a few minutes to answer. Multiply that by every order, every week, and it’s a part-time job.

The good news is that almost all of these messages can be answered before they’re sent. Here’s how.

The moment they pay, the questions start. Answer them before they’re asked.

1. Tell them before they ask

The simplest fix is a message at each step of the order. In Colvy, each WooCommerce or Shopify order status has its own message:

StatusWhat the customer hears
Processing“Thanks, we’ve got your order and we’re packing it.”
On holdA heads-up that you’re waiting on something, like payment clearing
Completed, with tracking“It’s on its way!” with the tracking link
Completed, no tracking yet“It’s on its way” without a link, so nobody clicks into a dead end
Picked upA thank-you for click & collect orders
Refunded or cancelledA clear, polite explanation

You write each one in your own voice, and leaving a message blank means it simply doesn’t send. Messages go by SMS or email, by default on whichever channel the customer last used with you.

Colvy also avoids the classic mistakes:

  • No spam. At most one message per status per customer each hour, so a busy order doesn’t send five texts.
  • No counter sales. In-store POS sales don’t get “thanks for your online order”.
  • No false alarms. A customer isn’t told their order was cancelled while they have another live one.

Hi Ella, thanks for your order! We’re hand-pouring your candles now and we’ll text you as soon as they’re on the way.

Good news Ella, your order is on its way 🚚 Track it here: auspost.com.au/track/…
Yay! Thank you 🥰

2. Tracking that finds itself

The “dispatched” message is only as good as its tracking link. Colvy picks up tracking from wherever you already create it:

  • Labels you buy in Colvy through Starshipit or ShipStation.
  • ShipStation shipments, once it’s switched on for your store.
  • Tracking added in WooCommerce, including notes from the ShipStation plugin.

The order card in Colvy shows where each order is up to, from tracking progress to “ready to collect”, so whoever’s on the inbox can see it at a glance without opening your store admin.

3. When they ask anyway

Some people will always ask, and that’s fine. When they do, Colvy’s AI finds their order and the latest tracking, and drafts the answer:

hey just wondering where my order is? it’s been a few days
Colvy AIHi Ella! Your order #4821 left us on Tuesday and it’s with Australia Post now, currently in transit in Melbourne. It should reach you in the next day or two. Here’s the tracking link: auspost.com.au/track/…

Order status is one of the replies you can let the AI send by itself, because it’s answering from live order data checked in that same moment. Everything else stays as a draft for a person to approve. There’s a daily limit, and a pause switch for all AI replies.

4. The cart they didn’t finish

Not every customer gets as far as an order. Abandoned carts are the other half of the story, and a short, friendly nudge brings a surprising number back.

Colvy’s cart recovery is off until you switch it on. Then it sends one message per abandoned cart, by SMS or email:

KKindred Candle Co.SMS
Hi Ella, you left Fig & Cedar (large) in your cart at Kindred Candle Co. Any questions? Just reply here. kindredcandle.co/cart/… Reply STOP to opt out.
Oh I got distracted! Is the large one the 40 hour burn?
It is! 40+ hours. Your cart’s saved whenever you’re ready 🕯️

The rules keep it respectful:

  • You choose the wait: 30 minutes, 1 hour (the default), 2, 4 or 12 hours.
  • Daytime only: between 9am and 8pm.
  • Fresh carts only: nothing older than 24 hours, and never anyone who has since ordered or opted out.

Want it more personal? Switch on the Sales Agent and each cart gets its own AI-written message based on what’s in it, as drafts for you to approve, or sent automatically within a daily limit.

5. Sell right there in the chat

Plenty of orders start as a question: “Do you do gift wrapping?” “Can I get the large one in blue?” When the answer is yes, you can take the order in the same conversation:

On WooCommerce, Colvy creates a real order with a payment link. On Shopify, it creates a draft order and sends Shopify’s own secure checkout. Either way, when they pay, the order files itself back into the conversation, and your normal order messages take it from there.

Selling in the chat, step by step

6. When something goes wrong

Breakages and missing parcels happen. When a customer messages about one, the DOA panel sits next to the chat: look up the order, pick the items, then refund to the original payment method, issue store credit as a one-time code, or flag a resend for your team. Need to see the damage first? Send an upload link and their photos and videos arrive at full quality.

7. Know which messages actually sell

Every link Colvy sends is tracked, including cart reminders, campaign links and back-in-stock texts. You’ll see who clicked, when and on what device. When someone orders within 7 days of clicking, the order is credited to that last click, so you can see roughly which messages earn their keep.

Key takeaways

  • Send a message at each order status, in your voice, on the channel each customer prefers.
  • Pull tracking from the labels and shipments you already create, so dispatch messages always have a link.
  • Let the AI answer “where’s my order?” from live order and tracking data.
  • One friendly abandoned-cart message, at the right time, starts conversations that close sales.
  • Take orders and payments in the chat, and handle breakages with a refund, credit or resend from the same place.
